YOUR MESSAGE
Hi Sample Customer, hope you're well. Just a quick nudge that invoice INV-001 for the work at your property (£240.00) is showing as unpaid. If it's already gone out, ignore me. Otherwise, whenever you get a minute would be great. Thanks — Example Trade Ltd
How to chase an unpaid invoice without losing the customer
Chasing works best as a short sequence rather than one angry message: a friendly nudge a few days over, a firmer reminder around a week, then a final notice with a clear deadline. Keep every message factual, name the invoice and the amount, and always give them an easy way to pay there and then.
Put it in writing by text, WhatsApp or email so you have a record, and keep the tone the same as on site. Most late payments are forgetfulness, not refusal.
Common questions from trades
How long should I wait before chasing?
Two or three days past the due date is fine for a friendly nudge. Waiting a fortnight makes the conversation harder and teaches the customer that your terms don't mean much.
Is a text or WhatsApp as good as a formal letter?
For the first couple of reminders, yes — it gets read fastest and keeps things friendly. Save a formal written notice for the final stage, when you may need to show you gave fair warning.
What should the final notice say?
The invoice number and amount, a clear deadline of seven days, and what happens next — statutory interest and recovery costs on business work, or further action on domestic jobs. No threats, no emotion.
Can I add interest and costs to what they owe?
On business-to-business work you can claim statutory interest plus fixed compensation. On domestic jobs it depends on your written terms. The late payment calculator works out the figures for you.
How do I avoid chasing altogether?
Invoice the moment the job's done, while you're still there, and give the customer a small discount for paying within 30 minutes by card, Apple Pay or Google Pay. Most settle before you've packed the van.
